First, congratulations! It\u2019s a huge milestone for any business. But it does come with a lot of questions, concerns, and a few more responsibilities on your part as the business owner.&nbsp;<\/p>\n\n\n\n<p>It\u2019s a daunting prospect, we know. That\u2019s why we\u2019ve put together a step-by-step guide you can follow, ending in a handy checklist to make sure you have everything you need.&nbsp;<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"first-step\">Taking the first step<\/h2>\n\n\n\n<p>There are loads of reasons why you might be thinking about hiring your first employee. You might have reached capacity on how many clients you can take on, your business\u2019 growth might have plateaued, or maybe you\u2019re just looking to gain a bit of time back for yourself.&nbsp;<\/p>\n\n\n\n<p>Whatever the reason, it\u2019s clear you need a helping hand.&nbsp;<\/p>\n\n\n\n<p>Before you set your heart on a full-time employee, though, there are a few alternatives you might want to consider:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Outsourcing <\/strong>\u2013 depending on what you\u2019re looking for help with, an agency might be able to help you. If it\u2019s support with marketing, finance, or admin, this might be a cheaper option than hiring your own employee.&nbsp;<\/li>\n\n\n\n<li><strong>Freelancers <\/strong>\u2013 a freelancer is a great option if you\u2019re looking for the support of an employee without the admin and extra responsibilities that come with it. While you won\u2019t get full-time help, or someone who\u2019s on-site all the time, there are freelancers who can help with almost any aspect of your business and bring a lot of valuable experience.&nbsp;<\/li>\n\n\n\n<li><strong>Part-time <\/strong>\u2013 hiring a part-time employee is a great starting point, especially if you\u2019re not sure exactly how they\u2019ll fit into your business or how much work they\u2019ll have.&nbsp;<\/li>\n\n\n\n<li><strong>Fixed-term contract <\/strong>\u2013<strong> <\/strong>got a big project coming up and need some temporary help? A fixed-term contract employee can fill a skill or capacity gap in the short-term and provide a lot of flexibility.\u00a0<\/li>\n<\/ul>\n\n\n\n<p>A full-time employee isn\u2019t always the answer. Consider your situation carefully and weigh up your options before committing.&nbsp;<\/p>\n\n\n\n<p>It can be a great idea to start with a freelancer to test the role and figure out exactly how much help you need and how they\u2019ll fit into your business. Likewise, part-time employees are great for having extra support without the financial burden of full-time hours.&nbsp;<\/p>\n\n\n\n<p>You also need to consider the financial reality of hiring your first employee. We\u2019ll go into <a href=\"#legal-responsibilities\">more detail on this later<\/a>, but employees come with extra overheads including: salary, national insurance and pension contributions, extra admin, employers\u2019 liability insurance obligations, and more.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"define-employee\">Define the employee you need<\/h2>\n\n\n\n<p>Now you\u2019ve decided what route to go down, it\u2019s time to define the role of your new employee.&nbsp;<\/p>\n\n\n\n<p>This starts with creating a job specification. A good job spec helps you avoid hiring the wrong person, which can lead to wasted time, money, and energy \u2013 resources you can\u2019t afford to lose as a sole trader.&nbsp;<\/p>\n\n\n\n<p>From your perspective, writing a job spec forces you to think carefully about the work you need your employee to do. As well as the job outcomes you want them to achieve and the skills they\u2019ll need to achieve them.&nbsp;<\/p>\n\n\n\n<p>Acas have written a <a href=\"https:\/\/www.acas.org.uk\/job-description-templates\" target=\"_blank\" rel=\"noreferrer noopener\">guide, complete with templates, on creating a good job spec<\/a>. If you\u2019re short on time, here\u2019s a summary of what you\u2019ll need to include:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>A realistic job title<\/strong> \u2013 keep it simple and representative of the position. Avoid using overly complex or inflated terms.&nbsp;<\/li>\n\n\n\n<li><strong>Purpose of the role<\/strong> \u2013 a short paragraph detailing the core reason the role exists and the measurable outcomes you\u2019ll expect your new employee to achieve.&nbsp;<\/li>\n\n\n\n<li><strong>Key responsibilities<\/strong> \u2013 list the tasks you expect your new employee to handle. Try and keep this around 5-10 points and concise. Make sure each one is action-based eg produce and send invoices, manage client communications, etc.&nbsp;<\/li>\n\n\n\n<li><strong>Required skills and experience<\/strong> \u2013 focus on the essentials. Anything else is a bonus but you don\u2019t want to unnecessarily narrow your pool of applicants eg able to work independently, bachelor&#8217;s or higher degree, experience using software, etc.&nbsp;<\/li>\n\n\n\n<li><strong>Working pattern and expectations<\/strong> \u2013 be as clear as you can so there aren\u2019t any surprises for your new employee. Outline hours per week, where you expect them to work, how you measure performance, etc.&nbsp;<\/li>\n\n\n\n<li><strong>Tools\/systems you use and training you\u2019ll provide<\/strong> \u2013 give them an idea of how you work, what you\u2019ll supply them, and what training you\u2019ll offer them when they join.&nbsp;<\/li>\n\n\n\n<li><strong>Pay and benefits <\/strong>\u2013 the nitty gritty for a lot of job seekers. Include a salary range, whether the role is permanent or temporary, details on probation period, the benefits you\u2019ll offer, etc.&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>Getting a job specification right is tough. Especially if it\u2019s your first time hiring an employee. Our advice is to take your time with it and consider everything carefully.&nbsp;<\/p>\n\n\n\n<p>Be realistic. This goes for everything you include in your job specification. Whether it\u2019s the amount of experience you require, the salary you\u2019re offering, or the workload you\u2019re asking for.&nbsp;<\/p>\n\n\n\n<p>Research other similar roles in your area, speak to other business owners, and be empathetic towards your future new employee.&nbsp;<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"recruit-success\">Recruiting for success<\/h2>\n\n\n\n<p>It\u2019s time to put that job spec into action by creating a great job advert.&nbsp;<\/p>\n\n\n\n<p>First thing\u2019s first, consider where to advertise your job. Online job boards, like <a href=\"https:\/\/uk.indeed.com\" target=\"_blank\" rel=\"noreferrer noopener\">Indeed<\/a> and <a href=\"https:\/\/www.totaljobs.com\" target=\"_blank\" rel=\"noreferrer noopener\">TotalJobs<\/a> can be a good place to start. Depending on your presence online, <a href=\"https:\/\/www.linkedin.com\" target=\"_blank\" rel=\"noreferrer noopener\">LinkedIn<\/a> can also be useful for recruiting.&nbsp;<\/p>\n\n\n\n<p>As it\u2019s your first hire, though, you might want to consider a more local solution. If you have some budget spare, local recruitment agencies can be a great way to find talent. You can also lean on your local network to see if anyone knows someone who might fit the bill.&nbsp;<\/p>\n\n\n\n<p>It all depends on the kind of role you\u2019re looking to fill. More specialised roles might require you to cast the net a bit wider than a part-time admin position.&nbsp;<\/p>\n\n\n\n<p>You\u2019ve already got the job spec ready to plug into your job advert. All you need to do now is double-check everything and do some polishing. Now you need to decide how you\u2019ll shortlist them. The more people you interview, the more work for you. It can also make it tougher to come to a final decision.&nbsp;<\/li>\n\n\n\n<li><strong>Give them a call<\/strong> \u2013 when you\u2019ve decided on your list, give each one a quick call. Use this to check some basics: their location, right-to-work status, availability, etc. This can help you and the candidate avoid wasting time if they don\u2019t match your requirements.&nbsp;<\/li>\n\n\n\n<li><strong>Keep notes<\/strong> \u2013 document how you come to your decisions on each candidate. This lets you provide them with feedback if they\u2019re unsuccessful and makes it easier for you to make decisions.&nbsp;<\/li>\n<\/ol>\n\n\n\n<p>You should now have your candidates narrowed down and your interviews arranged.&nbsp;<\/p>\n\n\n\n<p>Next, decide how you\u2019ll interview them. Before hiring your first employee ever, make sure you\u2019ve got your legal responsibilities in order.&nbsp;<\/p>\n\n\n\n<p>Unfortunately, there\u2019s a lot to prepare before that first day comes round. Mainly because you\u2019re going from being a sole trader to an employer.&nbsp;<\/p>\n\n\n\n<p>First, you\u2019ll need to <a href=\"https:\/\/www.gov.uk\/register-employer\" target=\"_blank\" rel=\"noreferrer noopener\">register as an employer with HMRC<\/a>. This allows you to get your employer PAYE reference number, which you\u2019ll need to use to pay your new employee.&nbsp;<\/p>\n\n\n\n<p>Next, you need to decide how you\u2019ll run your payroll. You can either do this yourself, using software, or outsource to an accountant.&nbsp;<\/p>\n\n\n\n<p>Most first-time employers opt for doing it themselves. In this case, you\u2019ll need something like <a href=\"https:\/\/www.xero.com\" target=\"_blank\" rel=\"noreferrer noopener\">Xero<\/a> or <a href=\"https:\/\/www.sage.com\" target=\"_blank\" rel=\"noreferrer noopener\">Sage<\/a>. This helps you keep accurate records and pay the correct amount of tax, national insurance, etc.&nbsp;<\/p>\n\n\n\n<p>As part of paying your employee for the first time, you\u2019ll need to get your new employee\u2019s P45. If they don\u2019t have one, don\u2019t worry. Use the <a href=\"https:\/\/www.gov.uk\/guidance\/starter-checklist-for-paye\" target=\"_blank\" rel=\"noreferrer noopener\">government\u2019s starter checklist<\/a> to set their PAYE up instead.&nbsp;<\/p>\n\n\n\n<p>All this should set you up nicely for <a href=\"https:\/\/makingtaxdigital.campaign.gov.uk\" target=\"_blank\" rel=\"noreferrer noopener\">Making Tax Digital<\/a>, a government scheme designed to digitise tax returns for small businesses and make paying your taxes easier and more efficient. You\u2019ll need to make sure you do some reading around this and make sure you have everything in place before April 2026.&nbsp;<\/p>\n\n\n\n<p>Don\u2019t forget to check that your employee has the right to work in the UK <strong>before<\/strong> they start. You can find out everything you need to know in the <a href=\"https:\/\/www.gov.uk\/government\/publications\/right-to-work-checks-employers-guide\/employers-guide-to-right-to-work-checks-26-june-2025-accessible\" target=\"_blank\" rel=\"noreferrer noopener\">government\u2019s guide<\/a>, but suffice to say, you\u2019ll need copies of their relevant documents. This includes their passport, visa, or other documentation that proves their working status.&nbsp;<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"legal-responsibilities\">Legal responsibilities<\/h2>\n\n\n\n<p>Your payroll\u2019s set up and you\u2019ve got some of the most important admin out of the way. Unfortunately, it\u2019s not quite over yet.&nbsp;<\/p>\n\n\n\n<p>Next up is insurance. By law, you\u2019re required to have <a href=\"https:\/\/www.policybee.co.uk\/employers-liability-insurance\" target=\"_blank\" rel=\"noreferrer noopener\">employers\u2019 liability insurance<\/a> from the moment you hire someone. Make sure you have a minimum of \u00a35 million cover and that you display your certificate somewhere your new employee can see it. We\u2019ll cover this in more detail <a href=\"#employers-liability\">further down<\/a>.&nbsp;<\/p>\n\n\n\n<p>Automatic enrolment in a workplace pension is another requirement, as of 2012. This can get a bit complicated, as there are a lot of different rules and eligibility criteria. Your best bet is to have a read of <a href=\"https:\/\/www.thepensionsregulator.gov.uk\/en\/document-library\/automatic-enrolment-detailed-guidance\" target=\"_blank\" rel=\"noreferrer noopener\">The Pension Regulator\u2019s guidance<\/a> to find out what you need to do.&nbsp;<\/p>\n\n\n\n<p>Health and safety is another legal requirement. In a nutshell, you have to keep your new employee safe while they\u2019re at work. This starts with conducting a basic risk assessment. <a href=\"https:\/\/www.hse.gov.uk\/simple-health-safety\/risk\/index.htm\" target=\"_blank\" rel=\"noreferrer noopener\">The Health and Safety Executive have a great beginner\u2019s guide<\/a> to help you get started.&nbsp;<\/p>\n\n\n\n<p>Finally, make sure you have an employment contract ready for your new employee to sign on day one. This should outline their pay, hours, duties, holiday entitlement, notice periods, probation periods,&nbsp;and more. Take a look at the <a href=\"https:\/\/www.gov.uk\/employment-contracts-and-conditions\" target=\"_blank\" rel=\"noreferrer noopener\">government\u2019s guidance on employment contracts<\/a> to make sure you have everything you need.&nbsp;<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"employers-liability\">Employers&#8217; liability insurance<\/h2>\n\n\n\n<p>Continuing our focus on your new legal responsibilities, it\u2019s time to hone in on <a href=\"https:\/\/www.policybee.co.uk\/employers-liability-insurance\" target=\"_blank\" rel=\"noreferrer noopener\">employers\u2019 liability (EL) insurance<\/a>.&nbsp;<\/p>\n\n\n\n<p>It\u2019s a type of insurance you won\u2019t have needed as a sole trader. But as a new employer, you\u2019re required to have it by law.&nbsp;<\/p>\n\n\n\n<p>Thankfully, it\u2019s easy to get and relatively cheap. Especially if you&#8217;re only hiring one employee. Here\u2019s a simple breakdown of what you need when it comes to employers\u2019 liability insurance:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>You must get EL insurance as soon as you become an employer.&nbsp;<\/li>\n\n\n\n<li>You need to have at least \u00a35 million of cover.<\/li>\n\n\n\n<li>You need to get your EL insurance from an authorised insurer.&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>But why do you need it? Simply, it helps you to pay compensation if your employee is injured or becomes ill because of the work they do for you.&nbsp;&nbsp;<\/p>\n\n\n\n<p>Accidents happen, and the last thing the government wants is for small businesses to close their doors because of them. That, alongside making sure employers have a safe workplace and healthy employment practices, is why they require it.&nbsp;<\/p>\n\n\n\n<p>There are a couple of important exceptions. You don\u2019t need EL if you employee a family member. You also don\u2019t need it if you employ someone who\u2019s based outside England, Scotland, Northern Ireland, and Wales.&nbsp;<\/p>\n\n\n\n<p>This <a href=\"https:\/\/www.gov.uk\/employers-liability-insurance\" target=\"_blank\" rel=\"noreferrer noopener\">guide from the government<\/a> has everything you need to know about your responsibilities when it comes to EL insurance. If you\u2019re based in Northern Ireland, this is the <a href=\"https:\/\/www.hseni.gov.uk\/publications\/employers-liability-compulsory-insurance-guide-employers\" target=\"_blank\" rel=\"noreferrer noopener\">EL guide you need<\/a>. Have a read and make sure you follow the rules carefully. After all, you can be fined \u00a32,500 for every day you\u2019re not properly insured!&nbsp;<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"final-touch\">Final touches<\/h2>\n\n\n\n<p>Once you\u2019ve found your employee, got all your legal responsibilities sorted, and all your systems set up, it\u2019s time to greet your new hire.&nbsp;<\/p>\n\n\n\n<p>In the lead up to their first day, make sure everything is ready for them to start their job.&nbsp;&nbsp;<\/p>\n\n\n\n<p>If they\u2019re an on-site employee, you&#8217;ll need to:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Get and set up any equipment they\u2019ll need<\/strong> \u2013 laptop, desk, chair, monitors, peripherals, notebooks, stationery, etc.&nbsp;<\/li>\n\n\n\n<li><strong>Check your workplace has any comforts they\u2019d expect<\/strong> \u2013 a fridge, a microwave, a kettle, somewhere to store their belongings, etc.&nbsp;<\/li>\n\n\n\n<li><strong>Prepare a health and safety briefing<\/strong> \u2013 fire exits, what to do in an emergency, locations of important safety equipment, etc.&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>If they\u2019re a remote employee, you\u2019ll need to:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Get any equipment they\u2019ll need and guide them on how to set it up.&nbsp;<\/li>\n\n\n\n<li>Make sure their home workspace is suitable for the job you need them to do.&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>Whether they\u2019re on-site or remote, prepare an induction and any initial training for them ahead of time. As a sole trader, you\u2019ll want your new employee to be able to get started right away.\u2019 The smoother the transition, the easier they\u2019ll be able to get started.&nbsp;<\/p>\n\n\n\n<p>An induction should include the following:&nbsp;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Basic admin<\/strong> \u2013 confirm working hours and break times, run through how your payroll works, collect any extra documents you need (eg emergency contact), run through how to request holiday and report sickness.&nbsp;<\/li>\n\n\n\n<li><strong>Tools and systems you use<\/strong> \u2013 give them access to their email, introduce them to any software and accounts they\u2019ll be expected to use, show them how to access any shared file systems, help them set up their laptop\/computer, explain any cybersecurity requirements, etc.&nbsp;<\/li>\n\n\n\n<li><strong>Job expectations<\/strong> \u2013 run through how their day-to-day will look, go through their job spec and detail how they\u2019ll fulfil their duties, explain what good performance looks like.&nbsp;<\/li>\n\n\n\n<li><strong>Set initial goals<\/strong> \u2013 some goals for their first week and first month can help to give them some direction. This could be in the form of an early task plan which includes some small, low-risk tasks that help them build up to their full role.&nbsp;<\/li>\n\n\n\n<li><strong>Introduce key contacts<\/strong> \u2013 chances are you work with suppliers, contractors, and clients. Explain who\u2019s who and set expectations as to how they should communicate with these people.&nbsp;<\/li>\n\n\n\n<li><strong>Important policies<\/strong> \u2013 provide a copy of their work contract, explain any core company policies such as data handling, social media, confidentiality, etc.&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>All of this helps them settle in and sets expectations from the outset. Encourage them to ask any questions they have and share any concerns.
